Job Description

General Purpose 

Attend to clients and deal with inquiries on the phone and face to face. Supply information regarding the organization to the public & clients and assist the operations director in the day to day operations of the business. 

Main Job Tasks and Responsibilities: 

  • answer telephone, screen and direct calls  

  • take and relay messages 

  • provide information to callers 

  • greet persons entering organization 

  • Check clients in for appointment and collect payment prior to session 

  • ensure knowledge of staff movements in and out of organization 

  • maintain security camera-back up system 

  • provide general administrative and clerical support 

  • prepare correspondence and documents 

  • receive and sort mail and deliveries 

  • Schedule intake appointments 

  • Create new client accounts in client database system--Carepaths 

  • maintain intake appointments electronically 

  • Return missed calls promptly 

  • organize conference and meeting room bookings 

  • monitor and maintain office supplies 

  • control inventory relevant to reception area 

  • tidy and maintain the reception area 

Education and Experience 

  • knowledge of administrative and clerical procedures 

  • knowledge of computers and relevant software application 

  • knowledge of customer service principles and practices
