Job Description

General Purpose:  Attend to clients and deal with inquiries on the phone and face to face. Supply information regarding the organization to the public &clients and assist the operations director in the day to day operations of the business. 

Main Job Tasks and Responsibilities:
· answer telephone, screen and direct calls
· take and relay messages
· provide information to callers
· greet persons entering organization
· Check clients in for appointment and collect payment prior to session
· ensure knowledge of staff movements in and out of organization
· maintain security camera-back up system
· provide general administrative and clerical support
· prepare correspondence and documents
· receive and sort mail and deliveries
· Schedule intake appointments
· Create new client accounts in client database system--Carepaths
· maintain intake appointments electronically
· Return missed calls promptly
· organize conference and meeting room bookings
· monitor and maintain office supplies
· control inventory relevant to reception area
· tidy and maintain the reception area  

Education and Experience:
· knowledge of administrative and clerical procedures
· knowledge of computers and relevant software application
· knowledge of customer service principles and practices
