Executive Director (Part Time) at Permian Basin Opera

Job Description

Permian Basin Opera is seeking a part time Executive Director (approximately 20 hours/week) to oversee the daily operations of the organization. Responsibilities include administration, fundraising, financial reporting, program development, public relations and marketing, and Board relations as PBO transitions to producing one live opera annually. This position would not include management of the actual production but would require ability to coordinate and work with the production manager.

KEY RESPONSIBILITIES: The Executive Director will be responsible for the following:
~Ensures IRS forms are completed and submitted in accordance with federal and state guidelines.
~Keep accurate books and financials and works with CPA for audit and tax purposes.
~Keeps Policies and Procedures up to date as changed/approved by Board of Directors.
~Meeting budget as approved by Board through fundraising and resource management.
~Completing next year projected budget and submitting to Board in a timely manner for approval by end of the year.
~Ensures filing, databases and calendars are up to date.
~Collaborates and assists all committees, whether printing items for meetings or implementing decisions and action items, etc.
~Will submit monthly report to Board of activities and action items, along with accurate budget and grant submissions.
~Maintain website and social media with support from Marketing committee.

Committee and Board Relations:

~Make opportunities for board training available and known to board members, and encourage attendance.
~Support production and education committees with all programming and Opera Live functions.
~Ensure that committees have the information and support necessary to fulfill objectives.
~Attendance at monthly board meetings is required.
~Attendance at committee meetings is strongly encouraged.


~In charge of maintaining grant calendar and submitting applications in a timely manner.
~Supports board and continues relations with donors.
~Keeps donor database up to date.
~Assists board officers with thank you notes and tax letters to donors.
~Assist with planning and implementation of special events.
~Identify, cultivate and solicit donors in collaboration with development personnel and board members.

Human Resources:
~Supports and works with Production Manager and artistic director(s) for Opera Live productions.
~Maintains contracts and bookkeeping for all Opera Live productions.
~Continued communication between Production committee, board, cast, musicians, venue and artistic directors for Opera Live productions and pre-show rehearsals, meetings and events.
~Works with marketing committee to publicize and fundraise for Opera Live productions.

~Support Education committee in publicizing, awarding and budgeting for annual Scholarship and Opera in the schools programming.
~Schedule and maintain contact with schools and performers for Opera in the Schools programming.
~Communicate with, recruit and steward continued and new volunteers, including Opera Guild.
~Attendance at Lunch and Learns and social events are encouraged.
~Attendance at all Executive Director meetings at Midland Shared Spaces is required.
~Maintains good standing with other artistic organizations and continues collaboration efforts.
~Works with Board to create a membership base and oversees base and communications with members.

The Executive Director must be:

~A person who is willing to be in the public eye continuously to promote the organization;

Requirements: Minimum 20 hours a week, including community events and meeting. Bachelors or equal experience Fundraising experience a must Arts experience preferred Passion for the mission Organizational skills must Technical skills preferred Marketing skills preferred Social/Promotional skills must Ability to speak in public
